Job Summary

We are seeking a highly organised, proactive, and professional Executive Assistant to Senior Management to provide high-level administrative and coordination support to a senior leader within the Manufacturing function. The role requires excellent organisational skills, discretion, strong communication, and the ability to manage multiple priorities in a fast-paced business environment. The role will involve extensive interaction with senior stakeholders across Manufacturing, Supply Chain, Finance, Commercial, Human Resources, Procurement, and other functions.

Job Details

Key Responsibilities

  • Manage the executive's calendar, meetings, appointments, travel, and daily schedule.
  • Coordinate meetings, prepare agendas, presentations, reports, and meeting materials.
  • Take minutes, track action points, and follow up with stakeholders to ensure timely completion of deliverables.
  • Coordinate communication between senior management and internal/external stakeholders.
  • Prepare and consolidate management reports, presentations, and business updates.
  • Support the coordination of leadership meetings, business reviews, and site visits.
  • Maintain accurate and confidential records and documentation.
  • Handle sensitive business and management information with a high level of discretion.
  • Coordinate travel arrangements, itineraries, and logistics for official engagements.
  • Support special projects, research, and other business initiatives as assigned.
  • Anticipate management needs and proactively resolve administrative and coordination issues.
  • Ability to work independently, manage competing priorities, and operate effectively under pressure.
  • Strong follow-up, problem-solving, and multitasking abilities.

Requirements

Requirements

  • Bachelor's degree in Business Administration, Management, Social Sciences, or a related field.
  • 3–5 years' experience in Executive Assistance, Executive Office, or a similar role.
  • Experience supporting senior management or C-suite executives is highly desirable.
  • Experience in FMCG, Manufacturing, or a fast-paced corporate environment is an advantage.
  • Excellent proficiency in Microsoft Office, particularly PowerPoint, Excel, Word, and Outlook/Gmail.
  • Strong communication, organisation, time-management, and stakeholder management skills.
  • High level of professionalism, confidentiality, attention to detail, and discretion.
  • Ability to work independently, manage competing priorities, and operate effectively under pressure.
  • Strong follow-up, problem-solving, and multitasking abilities.
